Position Overview
We are seeking an organized, proactive, and detail-oriented Office Manager & Transaction
Coordinator to oversee the daily operations of our high-performing office, manage transactions
from contract to close, and ensure compliance with all legal and company standards. This role
blends administrative expertise, agent support, and business development initiatives to help
maintain our position as the market leader.
If the selected applicant holds an active Iowa real estate broker license, there is an exciting
opportunity to potentially take on Managing Broker responsibilities.
Key Responsibilities
Office Management & Administration
Oversee day-to-day office operations to ensure an efficient, professional, and welcoming
environment.
Manage office scheduling, supplies, vendor relations, and equipment maintenance.
Serve as the primary point of contact for agents, clients, and partners.
Transaction Coordination & Compliance
Alongside our agents, facilitate real estate transactions from contract to close, ensuring all
deadlines and requirements are met.
Maintain accurate transaction files and ensure compliance with state, local, and brokerage
regulations.
Coordinate communication between agents, clients, lenders, inspectors, and title
companies.
Accounting & Financial Administration
Assist with accounts payable/receivable, commission disbursements, and monthly
reconciliations.
Prepare financial reports and assist with budgeting processes.
Profiencent in Bookkeeping with experience in QuickBooks
Agent Training & Development
Assist with onboarding and training of new agents.
Support continuing education, sales coaching, and performance development programs.
Business Development
Collaborate with leadership to identify and execute growth opportunities.
Support marketing initiatives, community events, and client appreciation activities.
Help maintain RE/MAX Lakes Realty’s strong brand presence in the Iowa Great Lakes
region.
Managing Broker Duties (if licensed)
Supervise and support licensed real estate agents.
Ensure legal compliance with Iowa Real Estate Commission requirements.
Participate in recruiting, retention, and strategic growth planning.
Qualifications
Strong organizational, communication, and problem-solving skills.
Experience in office management, transaction coordination, or real estate administration
preferred.
Proficiency in Microsoft Office Suite, Google Workspace, and real estate
CRM/transaction platforms.
Ability to handle multiple projects with accuracy and efficiency.
High level of professionalism, discretion, and customer service.
Preferred But Not Required: Iowa Real Estate Salesperson or Broker license.
Bonus: Previous experience in a high-volume real estate environment.
Compensation: Competitive salary based on experience, with potential for performance-based
